Event Preparation and Promotion

Below are four essential documents crafted to enhance your event planning and execution. Dive into each one for insights on reserving a venue, community promotion strategies, and day-of-event expectations.

Promotional Tools for Your Speaker

Discover everything essential for promoting your event, including access to links, logos, and poster templates. Additionally, each speaker’s engagement kit is complete with headshots, social media graphics, a biography, and an introduction. 

Host Planning Checklist

  • Sign Your Contract. Please sign your contract and reach out to your Outreach representative with any questions.
  • In-Person — Reserve space in advance. Be mindful of selecting a space that is the right size for the expected audience (not too big or too small). Make sure the space can accommodate the requested audio/visual requirements and utilize your speaker’s rider (which can be found in their respective marketing kits) and requirements in choosing a space.
  • Virtual — Create a Link. Discuss with the Active Minds team to determine whether you would like us to host the virtual event, or if you intend to do so. Should you want to host the event, create the virtual link and share the invite with speakers@activeminds.org.
  • Fill out the speaker overview form. Reference the original event support email for information on the speaker overview form.
  • Put your program on your school or community’s event calendar. Don’t forget to add your speaker’s presentation to the schedule, so everyone can find the information.
  • Create an RSVP/Interest form for the event to get an estimate of how many people will be attending
  • Connect with your speaker. 3–4 weeks before your event, the Active Minds National office will schedule a Speaker Planning Call via a Doodle poll to connect you with your speaker(s). As you are planning your event, please share important details and updates with the team at speakers@activeminds.org.
  • Review the information provided by the Active Minds Team. Please review all the information provided in the attached documents of the event support email, including the speaker’s rider. Ensure you have all the necessary requirements for the speaker, including audio & visual needs, ready to go.
  • Promote Your Event! Check out the documents above in the “Event Preparation and Promotion” section to gather some ideas.

Recording Request Form Document and Host Recording Portal Upload

Below is the link to fill out the recording request form. If you plan to record your presentation, you must complete this form before the presentation date. Additionally, the form states that you must upload a copy of the recording within 30 days of completion.
